TREATMENT COORDINATOR – SOLIHULL, WEST MIDLANDS, B91 - JO16239

We need a Treatment Coordinator to start working in Solihull, West Midlands.

To take ownership of the patient journey in order to:
·Maximise take up of treatments
·Achieve high levels of patient satisfaction

Responsibilities:
·To maintain good customer relations with all patients
·To schedule appointments according to clinic guidelines
·To maintain good customer relations with referring dentists
·To assist in all areas of the practice as needed
·To observe patient confidentiality at all times
·To portray a professional attitude to doctors, staff, patients and to referring dentists at all times
·To own the new patient process for both NHS and Private patients
·To achieve agreed sales and conversion objectives underpinning growth targets
·To assist with maintaining the NHS payment claims and receipts
·To assist with maintaining up to date private and NHS waiting lists
·To liaise and maintain positive communication with all members of the team

Duties:
·Responsibility for managing and responding to all new private patient enquiries via web, email, telephone and in person in order to achieve agreed sales targets
·Management of NHS and private patient trackers
·To pursue new enquiries and achieve agreed conversion rates
·Accomplish sales objectives by following up all enquiries, planning new patient appointments, scheduling open days providing financial options, following up appointments and proactively contribute in determining and creating marketing strategies
·The management and reporting of patient trackers (NHS and Private) within agreed parameters
·The management of the NHS contract including responsibility for the control of the NHS waiting lists in order to keep to UOA and framework targets
·Responsibility for NHS payment claims and receipts
·To manage the private diary on a weekly basis and liaise with Orthodontists, Receptionists and Business Manager as required
·Send information letter/welcome pack to all new private patients
·To ensure new private patient appointments are confirmed in advance of their appointment and within agreed timescales
·Meet and greet new patients in order to build rapport
·Explains treatment and financial options to new private and NHS patients and to seek to transfer NHS patients who do not qualify for treatment to private care
·Ensure patients leave with a ‘walk out ‘ pack (report, financials, consent, photos and any other relevant information) as agreed by the practice
·Follow up private pending patients and those without an appointment
·Process finance options for patients where applicable
·Prepare regular reports showing private patient statistics for management
·Maintain an up to date record of all new private patient enquiries
·Prepare end of month KPI report and send in a timely manner to the accountants and management
·Manage payments for treatments to minimise debtors
·Ensure that the status and procedure codes for all private patients are up to date
·Manage social media for marketing purposed e.g. Face book, Twitter
·Ensure that all private patient reports are given to the patients either at their consultation appointment or sent to them immediately after according to the practice policy
·Action all referrals as prescribed.
·Liaise and maintain a positive relationship with all referring dentists
·Ensure that all new patient related letters are sent to GDP and patients in a timely manner
·Responsible for communicating any issues or concerns to the patient and to provide solutions
·Supports the Practice Directors and Business Manager with the practice marketing (in-house and external) at all times
·Liaises and maintains a positive relationship with all referring dentists
·Social Media
·Keep TC room tidy and up to date with relevant information
·Keep up to date records of referral waiting lists and treatment treating lists
·Ensure the smooth operation of the patient recall system
·Assist with the compliance and regulatory requirements
·Assist on reception as and when required
·Take photographs/download onto patient chart as per agreed by the practice
·Work at other practice locations from time to time as and when required
·Other duties as necessary for the efficient operation of the practices
·Undergo training as may be required to develop skills and abilities and attend refresher and update training for medical emergencies, CPR and other required compliance
·Attend and assist with trade shows
·Act in accordance with the practice rule and code of conduct
·Ensure fully up to date with all Company policies and procedures

REQUIRMENTS:

·Completed GDC registration and certificate
·DBS
·Proof of right to work in the UK
